Global Catalogue Raisonné

Privacy Policy

Last updated: 24 September 2026

This Privacy Policy explains how Global Catalogue Raisonné ("GCR") collects, uses, stores, and handles personal information when people use the GCR website, create or manage catalogues, communicate with GCR, or otherwise provide information to the platform.

1. Information we may collect

GCR may collect information that you provide directly, including your name, email address, account information, correspondence, artist biography, professional information, and information submitted in connection with an artist catalogue or other GCR record.

Where you contribute catalogue material, GCR may also receive artwork information, images, exhibition histories, publication information, provenance information, image credits, and other documentation that you choose to provide.

GCR may also receive limited technical information generated when the website is used, such as browser or device information, pages visited, referring pages, and general website usage data.

2. How we use information

GCR uses information to operate and maintain the platform, administer accounts, create and maintain catalogue records, communicate with artists and contributors, respond to enquiries, improve the website, maintain security, and understand how the service is being used.

Information submitted for a public artist catalogue or other public GCR record may be displayed publicly as part of that record.

3. Private catalogues

Artists may begin with a private catalogue. Material designated as private is not intended to be displayed as part of the public GCR website unless the artist or authorised contributor chooses or agrees to make the relevant catalogue or material public.

Private material may still be stored and processed by the technical services used to operate GCR so that the catalogue can be created, maintained, secured, and made available to authorised users.

4. Public catalogue information

When an artist or authorised contributor chooses to make a catalogue public, information included in that catalogue may be accessible to anyone visiting GCR.

Public pages may also be indexed by search engines, linked to by other websites, cached, quoted, or archived by third parties. Those activities are outside GCR's direct control.

For this reason, artists should consider carefully whether personal contact details or other information not intended for broad public distribution should be included in a public catalogue.

5. Artwork images and submitted material

Artwork images and catalogue documentation are handled for the purpose of creating, maintaining, preserving, and presenting GCR records.

Copyright ownership and GCR's permission to use submitted artwork images and other material are addressed separately in the GCR Terms of Use.

6. Data storage and service providers

GCR uses third-party technology and infrastructure providers to operate the platform. Information may therefore be stored or processed using services that provide database hosting, authentication, file storage, website hosting, analytics, security, or related technical functions.

These providers may process information on GCR's behalf as necessary to provide their services. Depending on the provider and its infrastructure, information may be processed or stored outside the country in which a user lives.

GCR aims to use established service providers and reasonable technical measures appropriate to the nature of the information being handled.

7. Analytics and website usage

GCR may use website analytics and similar technologies to understand how visitors use the platform, including which pages are visited and how visitors arrive at the website.

This information is used to understand and improve the website, monitor performance, and identify technical or usability issues.

8. Sharing of information

GCR does not sell personal information.

Information may be shared with service providers where necessary to operate, host, secure, maintain, or support GCR.

GCR may also disclose information where reasonably necessary to comply with applicable law, respond to a lawful request, protect the security or integrity of the service, or protect the rights of GCR, its users, or others.

9. Data retention

GCR retains personal information and submitted material for as long as reasonably necessary for the purposes for which it was collected, to maintain the relevant account or catalogue, and to operate and protect the platform.

Retention periods may vary depending on the type of information, whether a catalogue remains active, and whether information must be retained for security, record-keeping, dispute resolution, or legal reasons.

10. Deletion and withdrawal

Artists and authorised contributors may request the deletion of personal information they have provided, subject to information that GCR reasonably needs or is legally required to retain.

Artists may also request that submitted catalogue material be removed or that a catalogue they control be withdrawn from public access, as described in the GCR Terms of Use.

Deletion from the live GCR service may not immediately remove information from technical backups, logs, or other temporary recovery systems. Information remaining in such systems will not normally be restored to the live service except where required for legitimate recovery or security purposes.

If information was previously published publicly, GCR cannot guarantee deletion of copies independently cached, indexed, archived, or reproduced by third parties.

11. Security

GCR takes reasonable technical and organisational measures to protect information against unauthorised access, loss, misuse, alteration, or disclosure.

No internet-based service or storage system can guarantee absolute security, and GCR cannot guarantee that information will never be affected by a security incident.

12. Your choices and requests

You may contact GCR to request access to, correction of, or deletion of personal information you have provided, or to raise a question about how your information is handled.

GCR may need to verify the identity or authority of the person making a request before changing or deleting account or catalogue information.

13. Third-party websites

GCR may contain links to museums, galleries, auction houses, artists, institutions, publications, and other external websites.

GCR is not responsible for the privacy practices, security, or content of websites operated by third parties. Their own privacy policies apply when you visit those services.

14. Changes to this Privacy Policy

GCR may update this Privacy Policy as the platform develops, its technology changes, or its privacy practices are updated.

The current version and the date it was last updated will be published on this page.

15. Contact

Questions or requests concerning privacy, personal information, data access, correction, or deletion can be directed to GCR through the contact details provided on the website.
